Introduction

PHASE Housing Management, LLC provides professional property management services. As a service-based business, our returns and refund policy differs from traditional retail product returns. This policy outlines the terms and conditions regarding service cancellations, refunds, and related matters.

Service Agreements

All property management services are provided under written service agreements between PHASE Housing Management, LLC and property owners. The terms of each agreement, including cancellation policies and fee structures, are specified in the individual contract.

  • Notice periods vary by contract type and jurisdiction requirements
  • Early termination may be subject to fees as outlined in your service agreement

Management Fees & Refunds

Monthly Management Fees: Management fees are charged for services rendered during the billing period. Fees for services already provided are non-refundable.

Setup and Administrative Fees: One-time setup fees, administrative fees, and placement fees are generally non-refundable once services have been initiated.

Pro-Rated Refunds: In cases of mid-month service termination, monthly management fees may be pro-rated based on services provided, subject to the terms of your specific agreement.

Tenant Security Deposits

Security deposits collected from tenants are held in accordance with Georgia state law and are not the property of PHASE Housing Management, LLC. These funds are held in trust for property owners and tenants.

  • Security deposits are returned to tenants according to lease terms and state regulations
  • Deductions may be made for damages beyond normal wear and tear
  • Disposition of security deposits must comply with Georgia landlord-tenant law

Service Cancellation Process

To cancel property management services, property owners must:

  1. Provide written notice as specified in your service agreement (typically 30-60 days)
  2. Settle all outstanding fees and expenses
  3. Arrange for the transfer of tenant security deposits and records
  4. Coordinate the transition of tenant relationships and vendor contracts

Billing Disputes

If you believe there is an error in billing or have concerns about charges:

  • Contact our office within 30 days of the billing date
  • Provide detailed information about the disputed charge
  • We will investigate and respond within 10 business days
  • Adjustments will be made if billing errors are confirmed

Exceptional Circumstances

PHASE Housing Management, LLC may consider refund requests in exceptional circumstances, including but not limited to:

  • Services not rendered as agreed
  • Significant service failures on our part
  • Duplicate billing or processing errors
  • Force majeure events affecting service delivery

Each situation will be evaluated individually, and refund decisions are at the sole discretion of PHASE Housing Management, LLC management.
